For a small team that mostly answers email, the Zendesk vs Help Scout decision usually goes to Help Scout. It has a free plan for up to five users, Standard costs $25 per user a month billed annually ($30 monthly), and there is less to set up before the first reply. Zendesk earns its place when you need phone, messaging and advanced routing. Its Support Team plan undercuts Help Scout Standard at $19 per agent, but it covers email ticketing. Chat, messaging and phone start with Suite Team at $55.
The difference you notice first isn’t the price. Help Scout feels like a shared inbox that grew up. Zendesk feels like a system somebody has to build. This comparison is for a team of roughly 2 to 15 people picking its first real help desk, and every price below comes from the two vendors’ own pricing pages.
Help Scout vs Zendesk at a glance
Each is a full ticketing system with assignment, statuses and reporting. The differences are scope, price and how much configuration they expect from you.
| Help Scout | Zendesk | |
|---|---|---|
| Best for | Email-first teams that want little admin | Teams that need phone, messaging and detailed routing |
| Starting paid price | Standard, $25 per user a month billed annually ($30 monthly) | Support Team, $19 per agent a month billed annually ($25 monthly) |
| Free plan | Yes, up to 5 users and 100 contacts a month | No |
| Free trial | 15 days on Standard and Plus, no card | 14 days |
| Users | Up to 25 on Standard, 50 on Plus, unlimited on Pro (10-user minimum) | Priced per agent |
| Inboxes | 2 on Standard, 5 on Plus, 10 on Pro | Not priced per inbox |
| SLA policies | From Standard (one basic policy) | From Suite Professional |
| Channels | Email, chat, SMS, WhatsApp, Instagram and Messenger from Standard; phone via integration | Email on Support Team; messaging, live chat and telephony from Suite Team |
| AI | AI Assist on every plan; unlimited AI Drafts and Summarize on Plus and Pro | AI agents priced by resolution; Copilot add-on at $50 per agent a month |
| Integrations | About 100 apps | More than 1,700 marketplace apps, by Zendesk’s count |
| Implementation estimate (vendor-sourced) | No published figure | “A minimum of four weeks” plus a week per 10 agents (a partner’s estimate, via Help Scout) |
Start with the channel and SLA rows, because they decide which plan you’d actually buy, then price that plan. The implementation row says who on your team will be busy for the first month.

Zendesk vs Help Scout pricing
Which is cheaper, Help Scout or Zendesk? Zendesk’s Support Team, at $19 per agent a month billed annually, is the cheapest paid seat of the two, below Help Scout Standard at $25. It covers email ticketing, though. Once you want chat and messaging as well, Help Scout Standard ($25) costs less than Zendesk Suite Team ($55). Help Scout Free costs nothing for up to five users.
How much does Help Scout cost?
| Plan | Price per user a month | What the plan adds |
|---|---|---|
| Free | $0 | Up to 5 users, 1 inbox, 100 contacts a month |
| Standard | $25 billed annually, $30 monthly | Up to 25 users, 2 inboxes, one basic SLA policy, chat and messaging |
| Plus | $45 billed annually, $54 monthly | Up to 50 users, 5 inboxes, two advanced SLA policies, round robin |
| Pro | $75 billed annually, $90 monthly | Unlimited users (10 minimum), 10 inboxes, unlimited SLAs, SSO, HIPAA |
Help Scout counts a contact as anyone who got a reply from your team or had a question resolved by its AI, so the free plan’s 100-contact cap is about customers helped, not emails received.
How much does Zendesk cost?
| Plan | Price per agent a month | What the plan adds |
|---|---|---|
| Support Team | $19 billed annually, $25 monthly | Email ticketing, routing, macros, triggers and automations |
| Suite Team | $55 billed annually, $69 monthly | Messaging, live chat, telephony, knowledge base, omnichannel routing |
| Suite Professional | $115 billed annually, $149 monthly | SLAs, skills-based routing, IVR phone trees, AI writing tools |
| Suite Enterprise | Contact sales | Sandbox, approval workflows, custom agent roles |
Prices checked October 24, 2026, on both vendors’ pricing pages, annual and monthly. If you’ve seen Help Scout listed at $22, $44 and $65, that’s an older price list, which Zendesk’s own Help Scout comparison page (September 2026) still shows.
What a five-person team pays in a year
| Plan for 5 people | Billed annually | Billed monthly |
|---|---|---|
| Help Scout Free | $0, if under 100 contacts a month | $0 |
| Help Scout Standard | $1,500 | $1,800 |
| Help Scout Plus | $2,700 | $3,240 |
| Zendesk Support Team | $1,140 | $1,500 |
| Zendesk Suite Team | $3,300 | $4,140 |
| Zendesk Suite Professional | $6,900 | $8,940 |
Help Scout Pro is missing on purpose. Its 10-user minimum means five people pay for ten seats, or $9,000 a year. Extras sit on top of all of these: each Help Scout inbox beyond your plan’s allowance is $10 a month billed annually ($12 monthly), and Zendesk’s Copilot add-on is $50 per agent a month billed annually.
How long each takes to get running
Help Scout asks less of you before the first reply goes out. It’s an inbox-style app with a short list of things to decide.
Zendesk is a different kind of project. Its strength is the rules engine, and that only pays off once someone designs the triggers, views and routing your team will live with. Small teams that skip that design work end up with Zendesk’s price and a shared inbox’s behavior.
The only implementation figure I could find with a source comes from Zendesk’s competitor. Help Scout’s comparison page (August 2026) quotes a Zendesk partner estimating “a minimum of four weeks” to implement Zendesk, plus about a week for every 10 agents. Treat that as a vendor-sourced estimate, not a benchmark. The deciding factor is simpler than any week count. Zendesk needs an owner who enjoys building rules. Help Scout mostly needs someone to agree on a few defaults with the team.
Which channels does each one cover?
Help Scout is email-first but no longer email-only. Its pricing page lists live chat, SMS, WhatsApp, Instagram and Messenger from the Standard plan up, so any summary that says Help Scout needs third-party tools for SMS is out of date. Phone is the real gap. Calls run through an integration, with Aircall as the add-on Help Scout points to, on every plan.
Zendesk covers more channels natively, but the plan matters. Support Team is email and ticketing. Messaging, live chat and telephony all start at Suite Team, and IVR phone trees need Suite Professional. If your customers phone in as often as they email, Zendesk’s built-in voice is the clearest reason to pay the Suite price.
Automation, routing and SLAs
Both tools have SLA policies now. You may still read that Help Scout lacks SLA enforcement, but its pricing page now lists SLA policies on every paid plan: one basic policy on Standard, two advanced on Plus and unlimited on Pro. Zendesk’s plan comparison puts SLAs on Suite Professional.
That makes SLAs one of the places where the plan names matter more than the brand. A five-person team that needs response-time targets gets them for $25 a seat on Help Scout and $115 a seat on Zendesk, both billed annually.
Routing follows the same pattern. Help Scout Standard gives you basic workflows, and Plus adds round robin assignment and advanced workflows. Zendesk gives you macros, triggers and automations from Support Team, which is a deeper toolbox than Help Scout’s at any price, and saves skills-based routing for Suite Professional. This guide to round robin and skills-based routing covers the trade-offs, and our guide to email ticketing systems covers the wider market.
AI features and what they cost
Help Scout bundles more of its AI into the seat price. AI Assist, which edits and translates replies, comes with every plan. AI Drafts and AI Summarize are unlimited on Plus and Pro. Its customer-facing AI assistant is billed separately at $0.75 per resolution, with a three-month free trial.
Zendesk prices its AI by outcome. Every plan includes AI agents and a monthly allowance of automated resolutions: 5 per agent on Support Team and Suite Team, 10 on Suite Professional. Extra resolutions cost $1.50 each on a committed volume or $2.00 pay-as-you-go. The agent-side assistant, Copilot, is an add-on at $50 per agent a month billed annually, and only Suite Professional and above can add it.
Both charge per resolution for AI that answers customers on its own. The bigger difference for a small team is the help your agents get while writing: on Help Scout it arrives with the plan, and on Zendesk the full version is a separate line on the invoice.
What changes for a team that answers in Gmail
With either tool, your team stops answering customers in Gmail. Both are separate apps, and your support address feeds into them. That’s fine if you’re ready to move. It’s a bigger change if your team lives in Gmail today.
Help Scout’s own documentation is direct about it: replies or updates made in Gmail to forwarded messages won’t appear in Help Scout. Anyone who answers from their inbox out of habit creates replies that never reach the shared thread.
Zendesk’s Gmail connection turns new incoming mail into tickets, so your older threads stay behind in Gmail. Zendesk’s help center also says it doesn’t officially support Google Groups or aliases as support addresses, which matters if your support@ address is a Google Group.
If your team would rather keep answering in Gmail, there’s a third route. Keeping adds assignment, statuses, notes and SLAs to the Gmail inbox your team already uses. Compare it as a Zendesk alternative that works inside Gmail or a Help Scout alternative that works inside Gmail, or browse other shared inbox software that works in Gmail.
Which should you choose, Zendesk or Help Scout?
For a small support team where email is most of the work and nobody wants to be a part-time admin, Help Scout is the better pick, since Standard covers chat, messaging and an SLA for $25 a seat billed annually. Zendesk becomes the right call once phone, many channels or rule-heavy routing are requirements today rather than someday.
- An email-first team of under 25 people: Help Scout Standard.
- Phone support, messaging and several brands or regions: Zendesk Suite Team or Suite Professional.
- Under five people with a modest number of customers: Help Scout Free, until you pass 100 contacts a month.
- Email only, on the tightest budget: Zendesk Support Team, accepting that SLAs, chat and phone all mean an upgrade.
Both tools can import your existing history, so whichever you lean toward, run real customer mail through it during the trial rather than a demo inbox. If Front or Freshdesk is also on your shortlist, check Front’s pricing or how Freshdesk stacks up against Zendesk against the numbers above before you decide.
Frequently asked questions about Zendesk and Help Scout
Who is Zendesk’s biggest competitor?
For small support teams, Freshdesk and Help Scout are the rivals Zendesk meets most often. Freshdesk competes as another full help desk with many channels, while Help Scout wins teams that mostly answer email and want less to administer. Which one matters depends on how many channels you run.
How much does Help Scout cost?
Help Scout’s paid plans cost $25 (Standard), $45 (Plus) and $75 (Pro) per user a month billed annually, or $30, $54 and $90 billed monthly. Pro has a 10-user minimum and is sold through a demo. A free plan covers up to five users.
Is Help Scout free?
Help Scout has a free plan for up to five users, with one inbox, one Docs site and 100 contacts a month, where a contact is anyone who got a reply. Beyond that you need a paid plan. Standard and Plus come with a 15-day trial and no card.
Is Help Scout a CRM?
No. Help Scout is a help desk built around a shared inbox. It keeps customer profiles and past conversations next to each email, which overlaps with a CRM, but it has no sales pipeline. Teams that need one connect HubSpot or Salesforce, which the Plus plan supports.
Does Zendesk have a free plan?
No. Zendesk has no free plan. It offers a 14-day free trial, and its cheapest paid plan, Support Team, costs $19 per agent a month billed annually ($25 monthly). Early-stage startups can apply for a longer trial through Zendesk’s startup program.
Can Help Scout or Zendesk work inside Gmail?
Not as a place to answer customers. Both pull your support mail into their own app, and your team replies there. Help Scout says replies sent from Gmail won’t appear in its conversations, and Zendesk turns new incoming mail into tickets. Gmail becomes the mailbox behind the scenes.
